This Data Retention and Deletion Policy explains how ProofLookup may retain, archive, delete, or preserve information.
1. General Retention
We retain account data, verification records, lookup logs, uploaded files, analytics, support messages, and technical records for as long as reasonably necessary to provide the Service, maintain record integrity, prevent abuse, comply with law, resolve disputes, and enforce policies.
2. Verification Records
Verification records may remain active until deleted, expired, revoked, archived, suspended, or otherwise changed by an authorized administrator or by us. Public lookup records may remain available to users who know the code, QR code, or URL.
3. Logs and Analytics
Lookup logs, IP addresses, user agents, timestamps, referrers, approximate location data, and security signals may be retained for analytics, debugging, security, fraud prevention, and abuse investigation.
4. Abuse and Enforcement Records
Records related to fraud, forged certificates, phishing, malware, spam, public safety risks, hidden links, copyright complaints, account abuse, and enforcement actions may be retained longer to prevent repeat abuse, support investigations, comply with law, or protect the Service.
5. Deletion Requests
You may request deletion of certain account or record data by contacting [email protected]. We may verify your identity and authority before deleting data. We may refuse or limit deletion when retention is necessary for security, fraud prevention, legal compliance, public safety, dispute resolution, backup integrity, abuse investigation, or enforcement of our policies.
6. Backups
Deleted data may remain in backups for a limited period until backups are overwritten or deleted according to our normal backup cycle. Backup data is not generally restored except for disaster recovery, security, legal, or operational needs.
7. User Backups
You are responsible for maintaining independent backups of important verification records, certificate data, product data, issuer information, uploaded files, and reports. ProofLookup is not a guaranteed permanent archive.
